International clinic coordination

SATLAS built a clinician-reviewed operations layer for a neuromodulation provider coordinating international clinics, practitioner onboarding and patient education. The work centred on a retrieval-augmented protocol knowledge base, a training-materials drafting agent and a structured reporting assistant for treatment summaries, follow-up notes and clinic handovers.

Challenge

Protocol guidance, device training notes and patient information were spread across slide decks, PDFs, clinical notes and country specific onboarding documents. Teams needed faster access without removing clinician control.

Build

We created four custom agents: Protocol Search, Patient Education Drafting, Training Pack Builder and Report Structuring. Each agent used a tagged source library, confidence prompts, citation snippets and mandatory clinician approval before anything could be shared.

Outcome

Internal test tasks showed protocol lookup time reduced by 64%, first-draft training packs produced in under 12 minutes, and report formatting time reduced from roughly 35 minutes to 9 minutes per case while keeping clinical review in place.

Cosmos Health

Clinical pathway design

SATLAS designed a clinician-facing documentation and knowledge access system for a mental health and neuromodulation service involving psychological assessment, QEEG-guided brain mapping, rTMS, tDCS and multidisciplinary care pathways. The system gave clinicians first drafts, internal guidance and patient communication while preserving professional judgement at every decision point.

Challenge

Assessment data, pathway notes and patient communications followed different formats depending on clinician, treatment type and clinic stage. This made handovers slower and created duplicated admin after consultations.

Build

We created a clinical documentation assistant, a QEEG summary drafting workflow, a patient FAQ agent and an internal pathway search tool. The system included red-flag language checks, source references, role-based prompt templates and a review queue for clinician sign-off.

Outcome

Draft assessment summaries were produced 71% faster in pilot tasks, patient FAQ responses became consistent across common enquiries, and internal handover notes were standardised into a single structure across assessment, treatment and follow-up stages.

SEND recruitment intelligence

SATLAS built a recruitment operations layer for a specialist SEND staffing organisation handling candidate communication, vacancy matching, compliance triage and school-facing handovers across multiple regions. The goal was to reduce repeated consultant admin while keeping final placement decisions with the recruitment team.

Challenge

Consultants were switching between job boards, CRM notes, compliance records, email threads and school requirements. Similar candidate summaries and vacancy updates were being written repeatedly across branches.

Build

We designed custom agents for Candidate Summary Drafting, Vacancy Matching, Compliance Checklist Triage and Regional Handover Notes. Outputs were structured into CRM-ready fields and included prompts to flag missing safeguarding, availability or role-fit information.

Outcome

In example workflow tests, candidate summary drafting time fell by 58%, vacancy shortlisting packs were prepared 43% faster, and handover notes became consistent across regions with fewer missing compliance fields at review.
